Summary

The Project Admin Assistant will support the implementation of three projects: Supply Chain Investment Coordination amp; Advocacy (SCICA), Private Distributors, and Outsourced Transport and make an important contribution to the achievement of their objectives.

Description

Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time by their manager.

  • External meetings: schedule meetings, follow-up with participants, develop meeting notes.
  • Project expense management: Prepare advance fund requests and collect all the supporting documents after each activity; reconcile actuals expenses vs budgeted expenses after each activity; identify variances in project spend vs budget each month.
  • Travel: handle all activities related to trips by team members such as making travel arrangements, booking accommodation, and obtaining permits and other needed travel documents (e.g. visas).
  • External workshops: manage all activities related to workshops such as reserving venues, producing materials, hiring equipment, and keeping records of participants and funds disbursed.
  • Document management: Ensure proper filing of project documents, including plans, minutes, budgets etc.

Support and participate in other tasks indicated by their direct manager.
